Privacy & Transparency Notice

No jargon, just straightforward data handling you can trust.

The Smoothly Digital Privacy and Transparency Notice

This Privacy & Transparency Notice explains how Smoothly Digital collects and uses your data.

I know reading this is usually a massive yawn, but as a former civil servant, I know exactly how these legal documents are usually written: 400 pages of impenetrable legal-speak designed to bore you into submission.

We don't do legal-speak here. We do implementation. We are simply here to get this legal box ticked as clearly and professionally as possible, so you know exactly how we handle your data when you subscribe to our 'Filtered' newsletter or enrol in our AI Literacy Certification Courses.

What Data We Collect: We keep it brutally simple. If you sign up for our newsletter or buy our 45-minute certification, we collect your name, your email address, and your payment details. We don't harvest your data to build a digital clone of you, and we certainly don't sell it to third parties.

Where Your Data Goes To provide a systemic and secure experience, your information is processed as follows:

  • Infrastructure: Your initial sign-up data is stored securely using Supabase (provided via Lovable Cloud). This acts as our primary database of record.

  • Communications: For the delivery of the 'Filtered' by Smoothly Digital Newsletter content and compliance updates, your email address is transferred to Hostinger Reach, our authorized email service provider.

  • Data Residency: We prioritize providers that maintain high standards of security and, where possible, store data within the EU or under recognized international data transfer frameworks (such as the Data Privacy Framework).

Our AI & Article 4 Transparency Commitment:

As a company that trains other businesses on the EU AI Act, we actually practice what we preach.

Our Institutional Transparency & Use of AI
At Smoothly Digital, we don't just teach the EU AI Act; we operate within it. We use Artificial Intelligence as a systemic tool to help us draft, synthesize, and produce our content (including the AI-generated briefings you see and hear in our modules).

The 'Smooth' Rule of Human Oversight:
While AI helps us find the path of least resistance, we follow a strict 'Human-in-the-loop' mandate. No article, video script, or compliance checklist is published without a thorough review and 'filter' by our human founder (a former civil servant).

The Article 50 Promise:
You will never be misled. If a piece of content is purely AI-generated (like our synthetic audio analysts), we will tell you. We believe that transparency isn't just a boring legal requirement—it’s the foundation of professional trust.

Under Article 4 of the EU AI Act, businesses are legally required to ensure their staff have a "sufficient level of AI literacy". We enforce a strict internal AI Usage Policy. This means our team knows exactly how to handle AI tools safely, and we guarantee that your personal data or email address will never be pasted into a public, open-source AI chatbot. We actively protect your information from the 'Shadow AI' GDPR data leak trap.

Furthermore, we are fully committed to the transparency obligations of Article 50. If you are ever interacting with a customer service chatbot on our site, or reading content that was wholly generated by artificial intelligence, we will clearly and visibly label it. You will always know when you are talking to a machine. Honesty by design.

Your Rights (The GDPR Bit) The EU's borders are entirely digital, and you have rights. You can ask us for a copy of the data we hold on you, you can ask us to correct it, or you can ask us to delete it entirely. If you want to unsubscribe from 'Filtered', there is a simple link at the bottom of every email. No bureaucratic hurdles, no waiting on hold.

If you need to exercise any of these rights, or if you simply want to ask a question about how we store your data, drop us an email at hello@smoothlydigital.com. We will reply within one business day.

Let’s check the compliance box today, so we can all get back to what we do best.

For the purposes of the GDPR, Smoothly Digital is the Data Controller. Our registered business address is Quinta Botanica, Sao Joao de Areias, Portugal.
